Bookkeeping Services in Belize

Professional Bookkeeping Services for Businesses in Belize

Monthly bookkeeping, reconciliations, cleanup work and clear financial reporting for businesses and organizations across Belize — delivered remotely nationwide and in person in San Ignacio.

Bookkeeping is the quiet work that everything else in a business rests on. It is not the part owners enjoy, and it rarely feels urgent until a bank asks for statements, a filing date arrives, or a bank balance no longer matches what the books claim.

Accounting & Tax Associates provides bookkeeping services to businesses, organizations and self-employed professionals throughout Belize. We take responsibility for recording transactions, reconciling accounts and producing reports you can actually read — on a fixed monthly rhythm rather than in an annual rush.

The firm operates from San Ignacio in the Cayo District and serves clients nationwide. For a broader view of what we handle beyond the ledger, see our Belize accounting services.

Why accurate bookkeeping matters

An inaccurate ledger does not simply produce a wrong number. It produces confident decisions built on a wrong number, which is considerably more expensive.

Consider a hardware retailer who records supplier payments but never captures freight and duty against the goods received. Gross margin looks healthy all year. Prices are set from that margin. The shortfall only becomes visible when the year-end figures are assembled and the profit that was supposed to be there is not. Nothing was stolen and nobody was careless with cash — the cost simply was never recorded where it belonged.

The same pattern appears with rental owners who net deposits against agent commission, contractors who treat customer deposits as earned revenue, and organizations that mix restricted grant funds with general operating money. In each case the bookkeeping, not the business, is what fails.

Benefits of professional bookkeeping

Handing bookkeeping to someone who does it every day buys back both accuracy and the hours you currently spend on it.

Pricing based on real cost

When purchases, freight, duty and wages are captured correctly, you can see what a job or product actually costs before you quote the next one.

Cash you can plan around

Reconciled accounts show what has genuinely cleared, not what a banking app happens to display on a Tuesday afternoon.

Filing figures already prepared

GST periods, PAYE totals and business tax figures come straight from a maintained ledger instead of being assembled under pressure.

Credibility with third parties

Lenders, funders, landlords and prospective partners all ask for figures. Consistent records let you answer the same week you are asked.

Bookkeeping services we provide

Engage the full monthly service, or only the components where your current arrangement breaks down.

Monthly bookkeeping

Sales, purchases, expenses, transfers, loan movements and owner contributions posted to the correct accounts each month.

Cleanup and catch-up

Rebuilding periods that were never recorded, correcting misposted entries, and closing out prior years so the current one starts clean.

Bank reconciliations

Every account matched line by line against the statement so the ledger balance and the bank balance agree.

Credit card reconciliations

Card activity separated from personal spending, foreign currency charges converted, and interest and fees recorded properly.

Accounts receivable support

Customer invoices tracked, payments applied, and an ageing list that shows exactly who owes you and for how long.

Accounts payable support

Supplier bills logged with due dates so payments are scheduled deliberately rather than discovered when a supplier calls.

Financial reporting

Profit and loss, balance sheet and cash summaries prepared from reconciled data, not from estimates.

Management reporting

Margin, receivable and expense trends presented so an owner can act on them without an accounting background.

The monthly bookkeeping process

Every client follows the same repeatable cycle, so you always know what has been requested and what stage the month has reached.

01

Documents received

You send statements, sales records, bills and payroll details using the checklist agreed at setup.

02

Transactions posted

Every item is recorded to the correct account and period, with supporting documents attached where the software allows.

03

Accounts reconciled

Bank and card accounts are matched to statements and any unexplained difference is investigated, not written off.

04

Queries raised

A short list of unclear items goes to you — an unlabelled transfer, a large cash withdrawal, a missing invoice.

05

Period closed

Once queries are answered, the month is finalised so figures do not shift after reporting.

06

Reports delivered

You receive your statements with a plain-language note on what changed and what deserves attention.

Bookkeeping cleanup and catch-up services

Most businesses that contact us are not starting from zero. They are starting from somewhere in the middle: part of the year recorded, part of it in a drawer.

Cleanup work begins with establishing a defensible opening position, then rebuilding each period forward from bank statements and source documents until the books reach the present month. From there, ongoing bookkeeping keeps the gap from reopening.

We tell you honestly what can and cannot be reconstructed from the documents available. Where a period genuinely cannot be supported, we say so rather than inventing entries to make a total balance.

Signs cleanup is needed

  • Bank accounts have not been reconciled for several months or longer.
  • The ledger balance and the bank balance have never agreed.
  • Personal and business spending sit in the same account without separation.
  • A filing deadline is approaching and the underlying figures do not exist yet.
  • Bookkeeping software was set up once, then abandoned mid-year.
  • A previous bookkeeper left without handing over a closing position.

Bank reconciliations

A reconciliation is the only routine check that proves your records reflect reality. It compares every entry in the ledger against the bank statement for the period and accounts for each difference.

Done monthly, it surfaces the problems that otherwise stay hidden all year: a cheque that never cleared, a customer deposit posted twice, a standing charge nobody remembers authorising, a transfer between your own accounts recorded as income.

We reconcile every operating, savings and foreign currency account you hold, and we follow up unexplained differences rather than parking them in a suspense account.

Credit card reconciliations

Business cards are where the line between company and personal spending blurs fastest, particularly in owner-operated businesses where one card covers everything.

We reconcile each card statement, separate personal items so they are treated as owner drawings rather than business expenses, record interest and fees to their own accounts, and convert foreign currency charges consistently.

The result is a card balance you can rely on and an expense report that will not embarrass you if the figures are ever examined.

Accounts receivable support

Sales only matter once they are collected. We record customer invoices as they are issued, apply payments against the correct invoice instead of the oldest balance, and maintain an ageing schedule showing what is current, thirty days out, sixty days out and beyond.

For a contractor working on progress billings, or a property manager invoicing many small amounts monthly, that schedule is usually the single most useful page of the reporting pack — it turns a vague sense that "people owe us" into a specific list.

Accounts payable support

On the payables side we log supplier bills with their due dates, match them to what was actually received, and keep a payable ageing so obligations are visible before they become urgent.

Businesses that track payables properly stop paying the same invoice twice, stop missing early settlement terms, and can answer a supplier query in minutes rather than searching through a WhatsApp thread.

Financial reporting

Reporting is where bookkeeping becomes useful. Once transactions are recorded and accounts reconciled, the statements below can be produced with confidence because the underlying data has already been verified.

Standard bookkeeping reports, how often they are produced, and the question each one answers

Management reporting

Standard statements describe what happened. Management reporting is about what to do next, and it is tailored to how a particular business actually earns money.

A restaurant may need food cost as a percentage of sales tracked month over month. A vacation rental owner may need net yield per property after commissions and maintenance. A contractor may need cost against budget on each active job. An NGO may need spending reported by grant and by funder rather than by expense type.

We agree the handful of measures that matter to you and report them consistently, so trends become visible early enough to respond to.

Remote bookkeeping throughout Belize

Bookkeeping does not require anyone to be in the same room. Statements, invoices and receipts move electronically, and clear photographs of paper documents are perfectly workable where scanning is not practical.

That means a business in Punta Gorda, Corozal, Placencia or on the cayes receives the same service and the same monthly cycle as a client walking into the San Ignacio office.

Clients in San Ignacio and the wider Cayo District are welcome to drop records off in person. Office hours and directions are listed on our contact page.

How remote clients work with us

  • Documents shared electronically on an agreed monthly schedule.
  • Queries handled by email or WhatsApp, whichever you prefer.
  • Reports delivered in a format you can forward to a bank or funder.
  • Records kept ready for the tax and compliance work that follows.

Why choose Accounting & Tax Associates for bookkeeping

Bookkeeping is a relationship of trust: you are handing over the record of everything your business does. These are the qualifications and working practices behind that.

Bookkeeping questions we are asked most

What is the difference between bookkeeping and accounting?

Bookkeeping is the day-to-day discipline of capturing every transaction correctly and keeping the ledger balanced. Accounting is what happens on top of that record: interpreting it, preparing statements, and using it for filings and decisions. Weak bookkeeping makes every later step slower and less reliable.

How many months of bookkeeping can you catch up at once?

There is no fixed limit. We have rebuilt records covering a single quarter and records covering several years. What matters is the availability of bank statements, invoices and receipts for the period. We tell you at the review stage how much of the period can be reconstructed from what you have.

Do I have to use a particular bookkeeping software?

No. We work with common cloud and desktop packages, and with structured spreadsheet systems for very small operations. If you already use something that works, we keep it. If you are choosing for the first time, we recommend a package that matches your transaction volume rather than the most expensive option.

What documents do you need each month?

Typically bank and credit card statements, sales records or point-of-sale exports, supplier invoices, expense receipts, payroll summaries and details of any loans or owner contributions. We give you a short checklist so nothing is guessed at.

Can bookkeeping be handled entirely remotely?

Yes. Most of our bookkeeping clients across Belize send documents electronically and never need to visit the office. Clients in San Ignacio and the wider Cayo District often prefer to drop off physical records, and we accommodate both.

How quickly will I see my monthly reports?

Once your documents for the month are complete, reporting normally follows within an agreed turnaround discussed at the start of the engagement. Delays almost always come from missing statements rather than from the bookkeeping itself.

My records are a mess. Is that a problem?

It is common and it is fixable. Shoeboxes of receipts, half-finished spreadsheets and unreconciled software files are the normal starting point for cleanup work. We do not need your records to be tidy before we begin — that is the work.

Will you also handle my tax filings?

Bookkeeping produces the figures that filings depend on. We support Belize business tax and GST filing requirements and U.S. expat tax preparation as separate services, so the same records feed both without being re-entered.

Do you provide audits of my books?

No. We do not provide audit, attestation, or assurance services. Our bookkeeping work covers recording, reconciling, reporting and ongoing support.
